<p>María, a shop owner based in the Canary Islands has been running her online store for a few years. In order to ease the burden around tax calculations for her online store, she would like to set the Canary Island General Indirect Tax (IGIC) directly in her WooCommerce tax rates. This will allow taxes to be calculated correctly during checkout.</p>
<p>Traditionally, using just the core WooCommerce plugin, María would only be able to configure tax rates for Spain as a whole since the state code isn’t available during checkout.</p>
<h2 id="section-2">Requirements</h2>
<p>For this use-case, the following extensions are needed:</p>
<ul>
<li><a href="https://help.codibu.com/blog/kb/shipping-locations-pro">Shipping Locations Pro</a> – Used for adding the states/locations (and the state codes) for all of Spain, including its constituent islands.</li>
</ul>
<h2 id="section-3">Configuration</h2>
<p>To configure the special tax rate for the Canary Islands in Spain, follow these steps:</p>
<ol>
<li>Log in to your WordPress admin area;</li>
<li>Ensure that <strong>Shipping Locations Pro</strong> is installed &amp; active</li>
<li>Navigate to <strong>WooCommerce &gt; Settings &gt; Shipping Locations<br />
</strong></li>
<li>From the country dropdown field, select Spain</li>
<li>On the right-hand side, locate<strong> Las Palmas</strong> and <strong>Santa Cruz de Tenerife</strong></li>
<li>Make a note of the Region code – <code>GC</code> and <code>TF</code></li>
<li>Navigate to the WooCommerce tax rate settings at <strong>WooCommerce &gt; Settings &gt; Taxes &gt; Standard Rates</strong></li>
<li>Add a new line, using <code>ES</code> for the country code and <code>GC</code> as the state code with a tax rate of 7%</li>
<li>Repeat step #8 but use <code>TF</code> as the state code</li>
<li>Select <strong>Save changes</strong></li>

<p>WooCommerce allows shop owners to automatically geolocate customers and display tax rates and shipping methods specific to a customer’s location. In order to determine the correct location for a customer, as of version 3.9+, WooCommerce uses an integration with MaxMind Geolocation.</p>
<p>MaxMind Geolocation Integration setup:</p>
<ul>
<li>Go to: <strong>WooCommerce  &gt; Settings &gt; General</strong></li>
<li>Head to the <strong>General options</strong> section.</li>
<li>In the “Default customer address” dropdown, choose “Geolocate” or “Geolocate (with page caching support)”</li>

<p>After geolocation is enabled, you need to create a MaxMind account and finish configuring the MaxMind Geolocation in the integrations tab in the WooCommerce settings.</p>
<h2 id="section-1">Create an account on MaxMind</h2>
<ul>
<li>Create an MaxMind Geolocation account</li>
<li>On the registration page, <strong>complete the form with your information</strong>. If you’re not sure what to choose as “Industry” and “Intended use” fields you can fill as “eCommerce” and “Price localization” respectively.</li>
<li>After submitting you’ll get an email with a link to set your password shortly. <strong>Click on that link and choose a password.</strong></li>

<p>Now that you have an account on the MaxMind website you will be able to create a license key.</p>

<li>Select the “My License Key” tab in your user account dashboard.</li>
<li>Select “Generate new license key”.</li>

<h3 id="section-4">Updating the database</h3>
<p>The system is set to automatically update every 15 days, using the built-in WordPress function WP Cron to trigger `woocommerce_geoip_updater`.</p>
<p>If the mmdb file on your server doesn’t seem to be updated correctly after this time, you can install the following plugin that will help you troubleshoot scheduled events in WordPress: WP Crontrol.</p>

										<content:encoded><![CDATA[<p>If you’re looking to move your store from Etsy to WooCommerce, or just want to set up your own personal store outside of Etsy, you can use our simple product import guide below to get your Etsy product listings into a new or existing WooCommerce store.</p>
<div class="woo-sc-box note   ">Note: This is a one-time import. Any updates in your Etsy shop won’t automatically sync to WooCommerce after the import.</div>
<p>A few things to keep in mind:</p>
<ul>
<li><strong>Etsy does not export the prices or quantities of&nbsp;variants.</strong>&nbsp;If you have variants, their prices will match after importing, and the quantities will be set to 0. You can follow&nbsp;<a href="https://help.codibu.com/blog/kb/variable-product/">this guide on how to set up Product Variations</a>&nbsp;once you have imported all your products.</li>
<li><strong>Digital products imported from Etsy will be listed as physical products.</strong>&nbsp;That is not a big problem though – WooCommerce is build to handle digital products as easily as it handles physical products. To list these items as digital products,&nbsp;&nbsp;on setting up digital products and this&nbsp;<a href="https://help.codibu.com/blog/kb/digital-downloadable-product-handling/">more in-depth look</a>&nbsp;at digital file handling.</li>
<li><strong>Manually created .csv files won’t import correctly.</strong>&nbsp;To successfully import products from Etsy you must follow the steps below using a .csv file exported from Etsy.</li>
</ul>
<h2 id="section-1">Step 1: Export your Etsy products</h2>
<p>1/ Visit Etsy.com and log into your account to get started.</p>
<p>2/ Click Shop Manager in the top-right corner.</p>
<p>3/ Once you in the Shop Manager dashboard, select Settings and&nbsp;then Options in the menu on the left of the screen.</p>

<h2 id="section-1">Orders</h2>
<p><strong>Orders</strong> allow you to view gross and net sales volume and totals, as well as top sellers, top freebies, top earners, and product downloads. Sub-sections are shown below.</p>

<h3 id="section-2">Sales by date</h3>
<p>The Orders tab starts with <strong>Sales by date</strong>. This gives you an idea of the current performance via a sales graph and a few way ways to drill down into data. By year, last month, this month, last 7 days, and a custom date range.</p>
<p>The sales graph itself shows the number of gross sales plotted on a light blue line, the net sales plotted in dark blue, the shipping amount plotted in green, refunds plotted in red, and coupon values redeemed in orange. Hovering over a point will give you the exact figure.</p>

<p>Similar to the previous sections, <strong>coupons by date</strong> shows discounts in total and number of coupons used, plus provides the ability to filter by coupon, view the most popular coupons, and coupons giving the most discounts.</p>

<p><strong>Downloads</strong> have unique IDs, enabling them to be tracked and logged, and making it possible to view when it was downloaded, which products and the file name, on what order (clickable link), and where the customer is located via IP address.</p>

<p>Everything is reset if you delete prior sales orders and then go to the order <strong>Trash</strong> and permanently delete them. Because all sales graphs and sales logs are dynamically generated, you then need to clear your browser cache.</p>

<p>The only columns and categories available are those shown. <p>To customize the displayed widgets, or adjust the number of widget columns, click “<strong>Screen Options</strong>” at the top right of the screen. The options that are displayed here depend on what plugins you have installed, what page you’re on, and even what hosting company you’re using. <p>The <strong>WooCommerce Status</strong> widget gives you a quick overview of your store. It starts with the number of sales for the current month, then it will list your top-selling product. Finally, you have a grid of your order and stock statuses.</p>
<p>It will alert you if you have a processing order or order on-hold. This goes the same for a product that is running low on stock or one that is completely out of stock.</p>

<p>From WooCommerce 3.4+, there is now a widget that appears under Dashboard that shows order information from across all sites in your network. You can click on an order to be taken to the details of the order on that site.</p>

<p>WooCommerce Analytics is a new reporting and data analysis tool to help you manage your WooCommerce Store. The suite introduces nine new reports along with advanced filtering and segmenting tools, the ability to download all data to CSV, and a customizable dashboard to monitor all the important key metrics of your site.</p>
<p>Since there is a great deal of functionality in Analytics, the sections in the Table of Contents in the right sidebar will be discussed.</p>
<h2 id="analytics-basics">Analytics Basics</h2>
<p>Most of the new reports in the WooCommerce Analytics section have a set of common tools. This document will introduce you to those features, and how they can be utilized to customize and dive deeper into the various new analytics reports.</p>
<p><strong>Navigate to Analytics &gt; Revenue</strong> to get started.</p>
<h3 id="analytics-basics__definition-of-terms">Definition of Terms</h3>
<p>The table below describes how different metrics within WooCommerce Analytics are calculated.</p>

<h3 id="analytics-basics__refunds">Refunds</h3>
<p>Refunds are reported on differently in WooCommerce Analytics than in the legacy WooCommerce Reports.</p>
<p>In WooCommerce Analytics:</p>
<ul>
<li>Refunds appear as a negative number on the date that the return occurred (not the date the order was placed).</li>
<li>Refunds include discounts from coupons.</li>
<li>Refunded shipping charges and refunded taxes are not included in the Refunds summary number or columns. They appear as negative values in the shipping and taxes summary numbers and columns respectively.</li>

<h3 id="analytics-basics__date-range-picker">Date Range Picker</h3>

<p>The <strong>Date Range</strong> picker allows you to specify which dates you want to include in the report being viewed. When you first open the Date Range Picker, a variety of popular presets allow you to quickly choose some common date ranges:</p>

<li>Yesterday</li>
<li>Week to Date</li>
<li>Last Week</li>
<li>Month to Date</li>
<li>Last Month</li>
<li>Quarter to Date</li>
<li>Last Year</li>
</ul>
<p>You can also select which date range to compare against, either the same range from the “Prior Year” or the “Prior Period.”</p>
<p>If the presets don’t match your desired date range, click the “Custom” tab at the top of the picker to have more granular control over the date range:</p>

<p>On the custom picker, you can either manually enter the start and end date using the provided input fields, or use the calendar to make your selection.</p>
<p>After either choosing a preset, or a custom date range, click the <strong>Update</strong> button to modify the data in the report. Note by doing this, the date range selected is added to the address of the report URL – which allows you to bookmark, or share a report URL with a specific date range to other Store admins. This date selection is persisted on the report view until you navigate away from the report.</p>
<h3 id="analytics-basics__advanced-filters">Advanced Filters</h3>
<p>Depending on the report you are viewing, there might also be other <strong>Quick Filters</strong> and/or <strong>Advanced Filters</strong> that allow you to further customize the data set being viewed.</p>

<p>If filter options are available, they will be shown next to the Date Range picker, or below it on narrow/mobile viewports. Much like the date range selection, filters are also persisted to the URL which allows you to save a quick link to a specific filtered version of a report. Available filters for each report are covered more in-depth in each report’s documentation.</p>
<h3 id="analytics-basics__summary-numbers-chart">Summary Numbers / Chart</h3>

<p>At the top of the reports, the Chart and Summary numbers offer quick access to key data, trends of that data, and visualizations for changes over time in the period selected, and the period being compared against.</p>
<h4 id="analytics-basics__summary-numbers">Summary Numbers</h4>
<p>The “Summary Number” tab gives you a quick view of the total figure for that metric over the period selected, the total number for the period being compared, and the percentage trend between those two figures. By clicking on a <strong>Summary Number</strong>, that particular metric is then displayed in the chart.</p>
<p>For example, this is what the “Orders Summary Number” looks like:</p>

<h4 id="analytics-basics__chart">Chart</h4>
<p>The charts on report pages offer quite a few options to customize the visualization of data. The “Data Legend” (labeled “a” in the above screenshot) allows you to toggle the visibility of the different data set periods. The “Interval Selector” (labeled “b”) allows you to adjust the interval displayed in the chart. The options available here are dependent upon the length of the date range selected:</p>

<p>And lastly, you can adjust the “Type of Chart” being displayed (labeled “c”) between a bar or line chart.</p>
<h3 id="analytics-basics__table">Table</h3>
<p>The table which displays the detailed data on Analytics reports also has a number of features that allow you to customize how the data is displayed, and even an option to download a CSV copy of the data used in the report for further analysis.</p>

<h4 id="analytics-basics__table-column-sorting">Table Column Sorting</h4>
<p>Many columns in reports will allow you to click on the column header to sort the tabular data by that value and to either sort by that value in ascending or descending order. Simply click the column header to sort by that value, and click it again to change between ascending and descending sort.</p>
<h4 id="analytics-basics__table-column-visibility">Toggle Column Visibility</h4>
<p>If a report contains a data column that you don’t need to be displayed, you can adjust the visibility of it by using the visibility menu on the right side of the table header. Click the column name in the menu to change the visibility of the column. Your visibility selections are persisted to your user preferences for each report, so on subsequent visits to that report, the columns you have previously toggled off will not be displayed.</p>

<h4 id="analytics-basics__download-csv">Download (to CSV)</h4>
<p>If you would like to download a copy of the data contained in the report table, you can do so by clicking the <strong>Download</strong> button in the table header. If the amount of data shown in the report is limited to one page ( e.g. there are no pagination options shown in the table footer ), the CSV file will download immediately.</p>
<p>If your selected date range results in a data set that spans more then one page in the table, your CSV download will be processed as a background job by WooCommerce. Once the data is ready to be downloaded, an email will be sent to the address that is attached to your WordPress account with a link to download the file.</p>
<h4 id="analytics-basics__table-pagination">Table Pagination</h4>
<p>When the data displayed in the table is larger than the default single page size of 25, some pagination options will appear in the table footer area. Directional buttons–labeled <strong>&lt;</strong> and <strong>&gt;</strong>–enable you to move backward and forward between pages, and a text field will allow you to jump to a specific page number. Furthermore, you can change the number of rows to display per page.</p>

<h2 id="analytics-dashboard">Analytics Dashboard</h2>
<p>The new dashboard in WooCommerce has been designed to allow you to keep track of the statistics and data that matter most to your site. Each section of the dashboard can be fully customized to meet the needs of your store, and also act as launching points to dive deeper into other Analytics Reports.</p>
<p>The dashboard is comprised of three sections:</p>
<ul>
<li>Performance Indicators,</li>
<li>Charts, and</li>
<li>Leaderboards.</li>
</ul>
<p>The data presented in these sections are controlled by the Date Picker which appears at the top of the page. This lets you quickly look at data for a number of preset date-ranges like week, month, quarter, and year to date, or to select a specific date range to view.</p>
<p><strong>Navigate to WooCommerce &gt; Dashboard</strong> to get started.</p>
<h3 id="analytics-dashboard__customizable-sections">Customize Dashboard Sections</h3>
<p>These sections can be re-ordered, re-named, or even toggled off if you don’t want to view a particular section(s).</p>
<h4 id="analytics-dashboard__toggle-stats">Toggle Stats</h4>
<p>To customize dashboard sections, click the kebab menu in the top right corner of the section. The first item that appears in this menu is the ability to toggle the display of the various stats that are shown in the section.</p>

<h4 id="analytics-dashboard__manage-sections">Rename, Move or Remove a Dashboard Section</h4>
<p>Below that you will find options for renaming the section, moving it up or down, or removing it entirely from the dashboard.</p>
<h4 id="analytics-dashboard__add-section">Add a Dashboard Section</h4>
<p>If you removed a dashboard section, or you have an extension installed that adds in an option for a new section, a plus icon will appear at the bottom of your dashboard. Clicking that plus will allow you to insert previously removed sections, or add in new ones.</p>
<h3 id="analytics-dashboard__performance">Performance Section</h3>
<p>By default, the Performance Indicators section is what appears at the top of your dashboard below the Date Picker. Each performance indicator will display a label informing you of the statistic that is being presented, the value of that statistic for the date range selected, a percentage change over the prior period along with a trend arrow of up/down/same, and the value for the previous period that is being compared.</p>
<p>Beyond giving you a quick glimpse into the statistic, Performance Indicators also act as a quick shortcut to dive deeper into the data behind the stat. For example, clicking on the Total Sales indicator will open up the Revenue Report for the date range that has been selected on the Dashboard. From there you can view associated charts and tabular data for deeper analysis.</p>
<p>Using the customization menu in the top right corner of the section, you can toggle the display of the following default performance indicators:</p>

<p>The final section on the Dashboard allows you to view four different “Leaderboards” for your store’s statistics. Like the other two sections, you can also toggle the visibility of the leaderboards via the customization menu. By default you have the following four Leaderboards to choose from:</p>

<p>WooCommerce Admin is pre-configured with a default date range of <strong>Month to Date</strong>. This is the date range that will be used when loading the WooCommerce Dashboard or Analytics page from any non-WooCommerce Admin page. Any reports that support a date range will have a Date Range Picker to allow changing the date range for the report.</p>
<h3 id="analytics-settings__import-historical-data">Importing Historical Data</h3>
<p>When you install WooCommerce 4.0 (or the WooCommerce Admin plugin) the new Analytics functionality needs to process the historical data in order to populate new Report pages. This is not done automatically – extremely large or high volume stores might want to schedule a maintenance window in which to import their historical data.</p>
<p>Stores with existing Orders will be prompted to import their data:</p>

<p>Stores that only want to see report data from a certain date onward can choose a date period, otherwise “all” data will be imported.</p>
<p>Extremely large or high volume stores might choose to import data in smaller increments – perhaps each year or quarter separately. The “skip previously imported customers and orders” control allows for overlapping date ranges to be imported without unnecessary data processing.</p>
<p>The Customer and Order counts will be updated in real-time to reflect changes made to the import settings. Press “start” when you’re ready for the import to begin.</p>
<h4 id="analytics-settings__import-progress">Monitoring Progress</h4>
<p>Once you’ve started an import, progress will be periodically updated on the Analytics &gt; Settings screen.</p>

<h4 id="analytics-settings__how-importing-works">How the Import Works</h4>
<h5 id="initial-data-import">Initial Data Import</h5>
<p>The historical data import uses Action Scheduler to queue jobs that process the existing data on your store, building tables of aggregate data to be used in Reports.</p>
<p>Before version 3.0.0, Action Scheduler used custom post types to manage queue data. To avoid problems queuing large numbers of items, the import jobs are queued and processed in batches to reduce the likelihood of execution time limits on servers/hosts with limited resources.</p>
<h5 id="subsequent-data-updates">Subsequent Data Updates</h5>
<p>All Customers and Orders that get created after WooCommerce 4.0 (or the WooCommerce Admin plugin) is installed are automatically queued for processing. Only historical data requires manual intervention to process.</p>
<h5 id="action-scheduler-at-scale">Action Scheduler at Scale</h5>
<p>For extremely large or high volume stores, we recommend following the Action Scheduler documentation for Background Processing at Scale.</p>
<p>If you’re using WooCommerce 3.9 or earlier, the bundled version of Action Scheduler uses a custom post type to manage queues. This can cause performance issues for high volume stores. We recommend installing the Action Scheduler plugin at version 3.0.0 or later. Action Scheduler 3.0.0+ uses custom database tables for queue handling and is significantly faster than previous versions.</p>
<h3 id="analytics-settings__reset-defaults">Reset Defaults</h3>
<p>The <strong>“Reset Defaults”</strong> button resets the settings to default values for all of the settings above the button. It has no effect on the data imported via <strong>Import Historical Data</strong>.</p>
<h2 id="categories-report">Categories Report</h2>
<p>The Categories Report provides insight into the product categories of your store.</p>
<p>By default, the Categories report is sorted by the number of <code>Items Sold</code> by category descending.</p>

<p>The total of the rows in the report may not equal the totals at the bottom of the report for two reasons:</p>

<li>Products can be assigned more than one category. The sales amounts for a product is included in the totals of all assigned categories.</li>
<li>The sales amounts for children/descendant categories are both shown in the report for that category and included in the totals of the parent category(ies).</li>

<p>By default, the Downloads Report displays the unfiltered All Downloads View. Each download is represented in the table and chart.</p>

<h3 id="downloads-report__filters">Advanced Filters</h3>
<p>There are several filters available to the Downloads Report.</p>
<ul>
<li>Select “Advanced Filters” in the “Show:” dropdown</li>
<li>Choose “Add a filter” and then choose one or several of the following filters:
<ul>
<li><strong>Product</strong> — allows filtering based on the downloadable product title.</li>
<li>Username — allows filtering based on the customer’s username.</li>
<li><strong>Order number</strong> — allows filtering based on the order number.</li>
<li><strong>IP Address</strong> — allows filtering based on the IP address this was downloaded from.</li>

<h2 id="orders-report">Orders Report</h2>
<p>The Orders Report provides insight into your store’s orders.</p>
<p>By default, orders with non-excluded statuses are listed by order date descending. Excluded statuses can be edited on the <a href="https://help.codibu.com/blog/kb/woocommerce-analytics/#analytics-settings">Settings page</a>.</p>
<p>Refunded orders cannot be excluded from the orders report. Refunded orders have two rows in the report: one for the date of the original order and one for the date of refund.</p>

<p>The advanced filters allow adding multiple filters to the report. These filters can be applied in two ways:</p>

<li>All – Orders must match all filters to be included in the report</li>
<li>Any – Orders must match one or more filters to be included in the report</li>

<p>“Net Sales” is calculated by subtracting refunds and coupons from the sale price of the product(s).</p>

<h2 id="revenue-report">Revenue Report</h2>
<p>The Revenue Report provides insight into the daily revenue of your store. A row is included for each day whether or not there were any orders on that day.</p>

										<content:encoded><![CDATA[<p>The Activity Panel aims to be a “one-stop-shop” for managing your store – fulfill new orders, manage product inventory, moderate reviews, and get information about running your store.</p>
<p>Access the Activity Panels wherever the WooCommerce Admin navigation bar is shown, this is any section of your store’s dashboard that is connected to WooCommerce:</p>

<p>This Inbox Panel is dedicated to informational content coming from multiple sources such as the WooCommerce core plugin, WooCommerce.com Subscription management, extensions activity, and store achievements. It also displays insightful content that could help with the day to day tasks of managing and optimizing a store.</p>
<p>In the inbox panel, we might display contextual messages about extensions available in our marketplace that can be useful for your business. If you don’t want to receive those suggestions, you can opt-out on WooCommerce &gt; Settings &gt; Advanced &gt; WooCommerce.com &gt; Marketplace suggestions</p>
<h2 id="section-2">Orders Panel</h2>
<p>The Orders Panel displays Orders that are considered “actionable.” Orders needing fulfillment are shown by default. You can click “begin fulfillment” to go to the Order Details screen.</p>

<p>For stores with <a href="https://help.codibu.com/blog/kb/managing-products/#inventory-tab">Stock Management</a> enabled, the Stock panel will be displayed.</p>

<p>The Stock Panel will show Products that are either Low in Stock or Out of Stock.</p>
<p>“Low in Stock” status is determined by a combination of the store setting and individual product settings. Consult the <a href="https://help.codibu.com/blog/kb/managing-products/#inventory-tab">Managing Products</a> documentation to learn more about managing product stock settings.</p>
<p>You can manage Product quantity directly from the Stock Panel.</p>

<p>For stores with <a href="https://help.codibu.com/blog/kb/configuring-woocommerce-settings/#section-9">Product Reviews</a> enabled, the Reviews panel will be displayed.</p>

										<content:encoded><![CDATA[<p>Orders are created when a customer completes the checkout process, and they are visible to users with Admin and Shop Manager roles only. Each order is given a unique <strong>Order ID.</strong></p>
<div class="woo-sc-box note   ">Order IDs are non-sequential as they use the default WordPress ID approach. For sequential order numbers, you can use <a href="https://help.codibu.com/blog/kb/sequential-order-numbers-pro/">Sequential Order Numbers Pro</a>.</div>
<h2 id="section-1">Order Statuses</h2>
<p>An order also has a <strong>Status</strong>. Order statuses let you know how far along the order is, starting with “Pending payment” and ending with “Completed.” The following order statuses are used:</p>
<ul>
<li><strong>Pending payment</strong> — Order received, no payment initiated. Awaiting payment (unpaid).</li>
<li><strong>Failed</strong> — Payment failed or was declined (unpaid) or requires authentication (SCA). Note that this status may not show immediately and instead show as <strong>Pending</strong> until verified (e.g., PayPal).</li>
<li><strong>Processing</strong> — Payment received (paid) and stock has been reduced; order is awaiting fulfillment. All product orders require processing, except those that only contain products which are both <a href="https://help.codibu.com/blog/kb/digital-downloadable-product-handling/">Virtual and Downloadable</a>.</li>
<li><strong>Completed</strong> — Order fulfilled and complete – requires no further action.</li>
<li><strong>On hold</strong> — Awaiting payment – stock is reduced, but you need to confirm payment.</li>

<p>From the <strong>Single Order</strong> page not only can you view all order data, but also edit and update.</p>

<li>Change the order status.</li>
<li>Edit order items – modify the product, prices, and taxes.</li>
<li>Stock – Reduce and restore stock for an order</li>
<li>Order Actions – Email order details to customer (handy if manually creating an order for your customers) or Regenerate download permissions</li>
<li>Modify product <strong>Meta</strong> to edit product variations by removing and adding meta</li>
<li>Apply coupons. You will need to know the coupon code to apply to the order. Coupon usage counts are tracked, and coupons can also be removed from orders. Note: the order must be unpaid for coupons to have an affect</li>
<li>Add fee. You can enter an amount or percentage to add a fee to an order. Negative fees will apportion taxes between all other items, and will not make the cart total go below zero</li>

<li>Quantity</li>
<li>Total (Cost x Quantity, with discounts taken into consideration)</li>

<li>Below that, the <strong>shipping details</strong> are displayed. This will include:

<li>The last section contains an <strong>overview of the order costs</strong>. This section will change if an order is refunded. By default, it will include:

<li>Items subtotal — cost excluding tax</li>
<li>Coupon(s) — amount deducted based on the use of coupons; the coupons used are displayed left in this section</li>
<li>Shipping — the shipping cost for the order</li>
<li>Taxes — the amount of taxes for the whole order; this will be replaced by the tax code applied to the order</li>
<li>Order total — the total of the above costs</li>
<li>Finally, below the line, an overview of what is paid and the fees taken by payment gateways</li>

<p>Apart from refunding, order items can not be edited, unless the order status is “Pending payment”, or “On hold.”</p>
<p><strong>Product items. </strong>Select the <strong>pencil icon</strong> next to a product line to edit.</p>

<li><strong>Quantity</strong> — Number of items the customer is purchasing.</li>
<li><strong>Total</strong> — Line price and line tax <strong>before</strong> pre-tax discounts.</li>
<li><strong>Tax </strong>— Tax cost. For example, if a customer is tax-exempt you may want to remove the taxes.</li>
</ul>
<p><strong>Other actions.</strong> Next, you can do four actions at the bottom of this window:</p>

<li>Add shipping — Add a shipping cost. When you’ve done this, select the pencil icon to update the name, the method, the cost, and the tax.</li>
<li>Add tax — Add an additional tax code to every section in the order.</li>
<li>Cancel — Cancel if you do not want to make any changes.</li>
<li>Save — Save once the changes are made.</li>
</ul>
</li>
<li>Once you’ve done this, select <strong>Recalculate</strong> to make sure all the changes are reflected in the order totals.</li>
</ul>

<h3 id="section-15">Order Notes</h3>
<p>The <strong>Order Notes</strong> panel displays notes attached to the order and can be used for storing event details, such as payment results or reducing stock levels, or adding notes to the order for customers to view. Some payment gateways also add notes for debugging.</p>
<p>The following note types are possible:</p>
<ul>
<li><strong>Purple</strong>: System status notices, such as payment gateway details.</li>
<li><strong>Grey</strong>: General status updates, such as status changes or private notes. Customers do not see these notes but may receive notification of them, e.g., when the status changes from processing to completed, an email may be sent (depending on your settings).</li>
<li><strong>Blue</strong>: Notes to the customer. Customers receive notes via email but can view them by viewing an order, or using the WooCommerce order tracking page.</li>
</ul>
<p>Notes can be a powerful tool for communicating with customers or other store managers. Need to add a tracking number for shipping? Is stock delayed? Add a customer note, and they are automatically notified.</p>

<h2 id="section-16">Manually Adding an Order</h2>
<p>To add an order:</p>

<li>Go to: <strong>WooCommerce &gt; Orders</strong>.</li>
<li>Use <strong>Add New</strong> at the top of the page. The Single Order page appears.</li>
<li><strong>Input</strong> customer details, add line items, apply coupons, apply fees and calculate totals. These are the same as the <a href="https://help.codibu.com/blog/kb/managing-orders/#editing-or-adding-order-items">Editing or Adding Order Items</a>.</li>
<li><strong>Set a status</strong> for the new order, e.g., If it needs to be paid, use “Pending payment.”</li>
<li><strong>Save</strong>.</li>
</ol>
<p>Use the <strong>Order Actions</strong> dropdown to Email order details to the customer with payment instructions.</p>

<p>Orders that are “Pending payment” can be paid for through the payment link.</p>
<p>As the shop manager, you can find this link on the order overview:</p>

<h2 id="section-18">Removing Personal Data</h2>
<p>Starting with WooCommerce 3.4+, it is possible to remove customer data.</p>
<ul>
<li>Go to: <strong>WooCommerce &gt; Settings &gt; Accounts &amp; Privacy</strong>.</li>
<li>Enable <strong>Allow personal data to be removed in bulk from orders</strong>.</li>
<li><strong>Save changes.</strong></li>

<li><strong>Failed</strong>, <strong>pending</strong>, and <strong>canceled</strong> orders which get cleaned up will be moved to the <em>trash</em>.</li>
<li><strong>Completed</strong> orders which get cleaned up will be <em>anonymized</em> so sales stats are unaffected (as above).</li>
<li><strong>Inactive accounts</strong> will be <em>deleted</em>. An inactive account is one which has not been logged in to, or which has not placed orders, for the specified time.</li>
</ul>
<p><strong>Personal data removal</strong> can be automatically associated with account erasure requests. WordPress allows deleting user details upon request via <strong>Tools &gt; Erase Personal Data</strong>. This removal can now also be associated with the orders of this user.</p>
<ul>
<li>Go to: <strong>WooCommerce &gt; Settings &gt; Accounts &amp; Privacy</strong>.</li>
<li>Under <strong>Account erasure requests</strong>:
<ul>
<li>Enable <strong>Remove personal data from orders on request</strong>, if you also want to remove order data when this is done</li>
<li>Enable <strong>Remove access to downloads on request</strong>, if the customer should no longer access the download links once their personal details have been removed.</li>
</ul>
</li>
</ul>

										<content:encoded><![CDATA[<p>WooCommerce, and most plugins sending email, send mail by using the wp_mail() function that is a core function of WordPress.</p>
<p>In most cases, if email is not being sent/received, then the issue is not with WooCommerce itself, but with the core email function on your web host. Read on for solutions to common issues.</p>
<h2 id="section-1">I am getting orders, but no emails are sending!</h2>
<p>There are multiple factors that can be the cause. Before explaining the actual mail side of the issue, please ensure that it’s not one described below.</p>
<h3 id="section-2">Check if orders are pending</h3>
<p>If your new orders have the status<strong> Pending</strong>, no email would have been sent yet. Pending orders are orders where the customer selected Place Order but abandoned the payment page (depending on the payment gateway, i.e., PayPal) or had their credit card transaction declined.</p>
<p>If you have pending orders <strong>but receive payment for them via a payment gateway such as PayPal</strong>, the orders are not being updated, and this could indicate a problem with the payment gateway. In this case, you are not looking at a email issue; you are looking at an issue with your payment gateway and may need to submit a support ticket.</p>

<p>Plugins can also return errors before status changes occur. To find out what may be causing this, you can either rule out conflicts by disabling plugins/themes other than WooCommerce itself, or you can use the WP debug log to view errors. If there are ‘fatal errors,’ this may be the problem.</p>
<h3 id="section-3">Check your Email Settings</h3>
<p>Orders that are properly updating to <strong>Processing</strong> should generate an email.</p>
<p>Another possible issue is mistakenly disabling emails from sending. Double-check that “Enable this email notification” is ticked for order notifications at <strong>WooCommerce &gt; Settings &gt; Emails</strong> and select the <strong>Processing Order</strong> email template. An additional test should be setting the Email Type to <strong>plain text</strong>.</p>

<h3 id="section-4">Check if emails are sent, but not received</h3>
<p>If emails are enabled and orders are updating to Processing, there could be an issue in the email delivery to a recipient. This could be a spam blocker that classified your emails are spam and stopped them. Installing a mail logging plugin can help.</p>
<p>Install WP Mail Logging plugin. This will log all outgoing mails so you can see what is being sent. Once installed:</p>
<ul>
<li>Generate a test order</li>
<li>Go to your admin dashboard &gt; WP Mail Log</li>
<li>Check that your test order generated an email, and if there are any sending errors reported</li>
</ul>
<p>After a successful send, the screen should look something like this:</p>

<p><strong>If the email was sent, but not received,</strong> there are a few steps that can be taken:</p>
<ul>
<li>Make sure you’re using an email address attached to your own domain in the “From” Address field in <strong>WooCommerce &gt; Settings &gt;Emails</strong>. Using your @gmail.com, @yahoo.com or similar public domain email address will likely cause emails to land in spam folders due to mismatch between the declared sender (servers of Gmail or Yahoo) and the actual sender (your server).</li>
<li>Sign up for an account with a <strong>dedicated SMTP provider</strong> (an average site can usually stay within free usage) that will send the email for you. This should be more reliable than your own server’s mail-sending function.</li>
</ul>
<p><strong>If the email was not sent</strong>, this could indicate a plugin conflict blocking the send by, for example, erring before they are generated. To find out what is causing this, you can either rule out conflicts by disabling plugins/themes other than WooCommerce itself, or you can use the WP debug log to view errors. If there are ‘fatal errors,’ this may be the problem.</p>
<h2 id="section-5">What is a dedicated SMTP provider? Is that like my Gmail account?</h2>
<p>A dedicated SMTP provider is similar to a web host in that you have an account and use their servers. The difference is instead of hosting websites, you use their servers to send emails. Gmail is an email provider where you send and receive emails; a dedicated SMTP provider is similar to having half of Gmail, where you only send emails and not receive them.</p>
<h3 id="section-6">Can I use Gmail as my SMTP provider?</h3>
<p>Yes, but it is not ideal. Gmail will disable your account if you send emails to more than 500 unique recipients in an 24-hour period. This includes emails you send yourself and all emails your website is sending. More at: Google Support: Gmail Answers.</p>
<h2 id="section-7">Suggested Dedicated SMTP Providers</h2>
<p>There are dedicated SMTP providers that work for most websites. All have their own plugin on WordPress.org, can be installed from your WordPress dashboard, and have support available to help you get started.</p>
<ul>
<li>Mailjet (Plugin) – Send 6,000 emails free per month.</li>
<li>Sendinblue (Plugin) – Send 300 emails free per day.</li>
<li>SendWP (Plugin) – it costs $9/ month for an account.</li>
<li>Amazon SES (Plugin) – Send 62,000 emails free per month if your website is hosted on AWS or pricing starts at $0.10 for every 1,000 emails.</li>
</ul>
<h2 id="section-8">How does email work?</h2>
<p>Comparing a path an email takes to reach its destination vs. driving a car on a road trip, emails do not travel directly from point A to point B. The final destination is more like point W, and the email is bouncing from one server to another at the speed of light while being filtered at each step.</p>
<p>Google has compiled this representation of the path an email follows. This story is specific to Gmail and delivering to a mobile device but helps explain how email works. More at: Story of Send.</p>
<h3 id="section-9">How does email work with WordPress?</h3>
<p>WooCommerce, and most plugins sending email, send mail by using the wp_mail() function that is a core function of WordPress.</p>
<h3 id="section-10">Does that mean WordPress sends my email? Is WooCommerce sending the email?</h3>
<p>Neither are sending the email. What happens is WooCommerce calls the wp_mail() function, which then requests WordPress to send the email. Because WordPress is not an email server, it typically asks PHP to send the email for it. PHP then checks for a local email server within the web server and tells that email server to send the email. Your email takes three steps before reaching your web server.</p>
<h3 id="section-11">If email is passed to my web server to be sent, how does a dedicated SMTP provider fit in?</h3>
<p>By using a plugin the SMTP provider has available or the Post SMTP plugin, the wp_mail() function reroutes the email from PHP to your SMTP provider. From there, the SMTP provider receives the request and adds your email to a queue to be sent.</p>
<h2 id="section-12">If emails are being blocked by spam filters, why is it not in my spam folder?</h2>
<p>The spam filter is the last and final spam filter your email is filtered through, at which point it is going to spam based on your email client settings or how you mark other emails as spam. If your emails are denied by another spam filter before that, it simply is not delivered.</p>
<h2 id="section-13">My contact form emails work, so why do WooCommerce emails get blocked?</h2>
<p>Without deep investigation into server logs and tracking exact email paths, this is not a simple question to answer.</p>
<ul>
<li>The short version is there is a lot more to spam filters than scanning for typical spam. Spam filters check the IP address of origin, the sending user and domain, the amount of email that IP/sender has sent, how many times emails from that sender have been marked as spam, and the wording of emails.</li>
<li>The most common factor is where the email originates, which brings your overall score with spam filters down low enough that even minor differences in wording and formatting of WooCommerce emails may be flagged as spam and not sent.</li>
</ul>
<h2 id="section-14">Can I send purchased downloadable files as attachments in the Order Completed and Invoice emails?</h2>
<p>Yes! Add this snippet to the end of your theme’s <code>functions.php</code> file:</p>

<p>In WooCommerce itself you can process refunds in two ways:</p>
<ul>
<li><strong>Automatic</strong>: Refunds change the WooCommerce order status and also reverse the charge so your customer gets their money (<a href="https://help.codibu.com/blog/kb/woocommerce-refunds/#section-2">jump to section</a>).</li>
<li><strong>Manual</strong>: Refunds change the WooCommerce order status, but you need to return the money manually to your customer (<a href="https://help.codibu.com/blog/kb/woocommerce-refunds/#section-4">jump to section</a>).</li>
</ul>
<h2 id="section-2">Automatic Refunds</h2>
<p>These are called Automatic refunds as when you process refunds that are connected to your payment gateway. Once you’ve processed this type of refund in your WooCommerce Admin, no further actions are necessary.</p>
<ol>
<li><strong>Check</strong>: Review the documentation or support of your payment gateway on whether automatic refunds are available. Most automatic payments fully support this.</li>
<li><strong>Scope</strong>: Refunds normally extend to products, taxes, and shipping fees. However, transaction fees charged by the payment gateway will likely be lost and not refunded.</li>
<li><strong>Setup</strong>: Make sure that your API settings are set and test your payment gateway and refunds while in sandbox or test mode:<br />

<li>Go to: <strong>WooCommerce &gt; Orders</strong>.</li>
<li>Select the order to refund.</li>
<li>Go to the order summary, and select “Refund” to start.</li>
<li>Specify the <strong>quantity of the product(s)</strong> to be refunded in the text box(es) that appear for each line item. The refund amount will automatically adjust based on the products refunded. If inventory levels are not managed, you can also enter the Refund amount, without adjusting the product quantity.</li>
<li>If the quantities of items are not set when issuing a refund then the order is not marked as refunded and the email that is sent will say “partial refund.”</li>
<li><strong>Add refund notes</strong>, if desired.</li>

<h3 id="section-3">How Do I Know It Worked?</h3>
<p>Order Notes in the right sidebar will log refunds. Keep an eye on the order notes to learn if it’s been logged or if there’s an error message. A successful “Refunded” message in order notes concludes the refund.</p>

<li><strong>Check</strong>: Consult the documentation or support of your payment gateway on whether manual refunds are available. You will either need to:

<li>Log in to your payment method account and process the refund there.</li>
<li>Transfer the money from your bank account manually.</li>
</ul>
